Transition to Invoxy

We're moving from Flexitime to Invoxy!

We're excited to announce that we're transitioning to a new and improved online payroll system - Invoxy!

The new payroll system will be an improved offering for both our families and nannies and will ensure that payroll remains a seamless exercise for all our customers.

In this email, we've outlined what everyone can expect over the next couple of weeks.

1. Key Dates

The key dates for our transition to Invoxy are as follows:
  • 23rd March 2021 - Login details for Invoxy sent
  • 24th March 2021 - User Guides & Further information sent
  • 28th March 2021 - Last timesheets entered for Weekly & Fortnightly nannies in Flexitime
  • 29th March 2021 - Weekly & Fortnightly nannies begin entering time in Invoxy
  • 31st March - Last timesheets entered for Monthly cycle nannies in Flexitime
  • 1st of April - Monthly nannies begin entering time in Invoxy
  • 1st of April - Access to flexitime will cease

2. What families can expect

Families shouldn't notice any significant changes for how payroll is currently processed other than some additional features.

For nannies completing timesheets, these will continue to be sent for approval via email. One exciting change in the new system is that you are now able to reject or provide comments for change in your response to timesheet approval requests.

Families will now also be able to login and view leave requests. This will give families better oversight around the leave for their nannies.

Invoicing, payments and all other deadlines will remain the same as they are now.
 
3. What nannies can expect

We're excited for nannies to begin using the Invoxy system. The user experience should be far superior than with our current system, Flexitime.

The invoxy system is user friendly and can easily be accessed from any web browser on either phone or desktop. The added functionality of the system also makes it easier for nannies to navigate timesheet entries, payslips or leave requests. 

Over the next couple of weeks, we will stay in touch around providing you with all the information required to migrate to the new system - including user guides and login details.

4. Other Key Information

We thought it was also important to note the following:
  • Payroll dates & timing won't change
  • Payroll cycles won't change for any nannies
  • There won't be any delays with any pays for any nannies
  • Nannies will always be able to access their old payslips and pay information from Flexitime
  • Leave balances & existing leave requests won't be impacted by the transition
  • Existing payroll setups (IRD, Kiwisaver etc) will be migrated to the new system
  • We'll be available during normal business hours to troubleshoot any issues!

We'll be in touch again around migrating to the new system and we're looking forward to getting this up and running!
